Role information
To work on own initiative to provide coordination, administrative and organisational services in support of the regional director and regional officers in central England. These would include shows, training courses and other events.
To liaise with contractors, volunteers, partner organisations, teams at BASC head office and all regional and country centres when required. Maintain significant contact with BASC members and non-members by phone, email and in person and ensure the highest standards of service delivery.

Key accountabilities and responsibilities
- Provide administrative, operational and communications support to the regional director and officers from the Central England office near Ashbourne, Derbyshire, so that the highest standards of service are always delivered.
- Assist with the organisation of events including liaising with BASC coaches, clubs, contractors, volunteers, venues, taking bookings and payments, the booking of accommodation, booking equipment and arranging tickets. This includes travel within the region, attending certain shows and events, and visits to BASC head office as required.
- Day-to-day office management including responsibility for budget scheduling, taking customer payments, handling cash, maintaining records of finance, orders and receipt of stationery, equipment and merchandise. Raise departmental purchase orders, complete invoicing documentation, organise petty cash, banking cash and cheques, use internal systems and processes and liaise with the head office finance department.
- Format reports, editorial and any other copy drafted by the director including:
- Letters
- Information packs
- Taking and circulating minutes of meetings and other written information
- Liaising with the BASC design team to produce marketing and advertising materials
- Provide excellent customer service to existing and non-members, giving advice regarding membership, regional activities, training courses and events. Update membership information on BASC’s contact management system.
- Originate, maintain and update content on the regional website including listing of events and activities. Promote events, activities and news through social media. Liaise, as appropriate, with the IT team to ensure efficient running of computers, software and hardware.
- Administration of fundraising initiatives and supporting auctions including liaising with donors, winners and arranging fulfilment of lots.
- Supporting projects when required to ensure their smooth delivery.
- Assist the regional director in compiling annual budgets, researching and checking payments. Recording and maintaining within spreadsheet and budget proposal.
- Monitor social media posts and support with feedback.

GCSE A-C, Scottish Standard Grades, BTEC First Diploma (NVQ-2). Enthusiasm to undertake work-based training. Experience in an administrative support role. Experience of accurate use of Microsoft Office packages including Word and Outlook. Experience of providing a high standard of service to customers, ideally in a similar environment. Experience of talking to customers/members and understanding their requirements. Experience of working alone under own initiative. General requirements
BASC head office is based in Marford Mill, Rossett, with country and regional offices across the UK.
We have an agile working approach, with our core hours being between 8.30 – 5.30 Monday to Friday. We do expect some weekend and out-of-hours working to support our membership engagement. Your working hours are stated in your contract of employment.
You are expected to be flexible, agile and willing to undertake any other duties that may be reasonably required.
