Administrator / Receptionist – permanent, part time

Salary: £23,000 FTE, part-time salary equates to £16,083.92

Role information

We are looking for a permanent, part-time administrator / receptionist to join the team at BASC.

Working hours will be 9.30am to 2.30pm, Monday to Friday. This role will rotate with the admin team to support the reception area and to assist with general administrative duties. Key accountabilities and responsibilities

  1. Work as part of a team to act as first point of contact for members, suppliers and others either visiting or telephoning BASC.

  2. Work on reception as and when required. Answer calls with the appropriate greeting efficiently and courteously, ensuring all calls are routed correctly and that messages are passed to the appropriate team member in a timely manner.

  3. Provide a friendly and efficient reception service to internal and external customers, greeting visitors in a professional and helpful manner and informing the relevant departments of arrivals. Ensure the visitors’ book is kept up to date.

  4. Ensure the reception area is kept clear and tidy, to present a professional image to all visitors.

  5. Deliveries and collections – ensure all goods delivered to head office are signed for and passed to the relevant person.

  6. Arrange dispatch of goods via courier at the request of colleagues.

  7. Operate and maintain booking systems/rotas within the administrative team.

  8. Maintain and purchase supplies and services as required. Liaise with service providers, ensuring adequate service is always provided, and records are kept up to date.

  9. Make bookings for staff, volunteers and council members with chosen providers when required.

  10. Provide general administrative support to the association, some examples:
    • Hotel bookings
    • Arranging lunches and refreshments
    • Processing invoices on the system and liaising with the finance department.

  11. Support with arrangements for council meetings, AGM and other meetings as required.

  12. Efficiently process incoming and outgoing mail each day in accordance with agreed office procedures.

  13. Support the head of facilities and H&S in undertaking health and safety workstation assessment at head office and maintain of records of all assessments.

  14. To be trained on DMQ work for resilience within the department.

ExperienceEssential skills, knowledge and achievements

Minimum GCSE/level 2 English and Maths

Customer service qualification or training

Enthusiasm to undertake work-based training

Good knowledge of administration systems

Experience of accurate use of Microsoft Office packages including Word and Outlook

Good relevant reception experience, including receiving calls, greeting visitors and dealing with a range of administrative tasks

Experience of providing a high standard of service to visitors, ideally in a similar environment

Excellent team player

Able to work flexibly

General requirements

BASC head office is based in Marford Mill, Rossett, north Wales, with country and regional offices across the UK.

We have an agile working approach, with our core hours being between 8.30 – 5.30 Monday – Friday.  We do expect some weekend and out-of-hours working to support our membership engagement. Your working hours are stated in your contract of employment.

You are expected to be flexible and agile and be willing to undertake any other duties that may reasonably be required.
