Role information
Provide proactive, comprehensive, and efficient administrative support to the chief executive, chairman, vice-chair, executive directors, project integration manager and council, acting with the utmost loyalty and discretion with the aim of ensuring that the association operates as effectively as possible.
Full executive support to the executive team, council chair and vice-chair, ensuring their diaries, holidays and travel arrangements, expenses and all other logistic matters are effectively managed. General administration duties include proof reading, collation and distribution of meeting papers, letters and raising purchase orders.
Assist and provide support in the prep for council meetings. This includes drafting agendas, organising papers, logistic of travel, accommodation, food, etc. ensuring the meeting goes to plan, and the taking of and producing the minutes from all council meetings.

Key accountabilities and responsibilities
- Full executive support to the chief executive, chairman, vice-chair, project integration manager, executive director of business management, executive director of conservation and executive director of shooting and operations, ensuring their diaries, holidays and travel arrangements, expenses and all other logistic matters are effectively managed.
- Provide ad-hoc support to council.
- General administration duties including proof reading, collation and distribution of meeting papers, letters and raising purchase orders.
- Council – assist and provide support in the prep for council meetings. This includes drafting agendas, organising papers, logistic of travel, accommodation, food, etc. ensuring the meeting goes to plan.
- Council – attend all council meetings.
- Council – produce the minutes from all council meetings in a timely manner following the council meeting.
- Take telephone and email messages escalating urgent matters and passing information to the appropriate person at the earliest convenience.
- Assist in preparations for the AGM meeting as required, co-ordination of evening meal arrangements, lunches and room bookings & seating plans.
- Ensure that all incoming correspondence is acted upon, and outgoing letters and email communications are completed in a timely manner.
- Ensure that appropriate records and filing systems are kept up to date both for hard copy and electronic communications.
- Travel and accommodation arrangements, identifying best value for money for CEO, project integration manager, executive directors and members of the team working away from the office.
- Provide secretariat support for deer management qualifications Ltd.
- Collate and document plaudits and complaints regarding the staff team ensuring that they are communicated, followed up and resolved appropriately (according to established procedure).
- Raise purchase orders as requested, check invoices and issue to finance.
- Any other duties as reasonably requested by chief executive, chairman, vice-chair, project integration manager, executive director of business management, executive director of conservation and executive director of shooting and operations.
- Assist project integration manager with shows and events as required.
- Attendance at the yearly game fair with the CEO team and assisting the project integration manager at the event.

General requirements
BASC head office is based in Marford Mill, Rossett, with country and regional offices across the UK.
We have an agile working approach, with our core hours being between 8.30 – 5.30 Monday to Friday. We do expect some weekend and out-of-hours working to support our membership engagement. Your working hours are stated in your contract of employment.
You are expected to be flexible, agile and willing to undertake any other duties that may be reasonably required.
